HotLine General Information

CREDIT/TERMS: With approved credit the following terms apply: Calendar invoices are due 12/01/08 or 30 days from ship date (after 11/01/08). Most major credit cards are accepted. Invoices are sent when the order is produced regardless of the requested ship date.

ARTWORK: Our art department determines what is camera-ready artwork. Faxes, photocopies, business cards, newsprint, or art requiring resizing are NOT camera-ready. Borders around artwork will not be printed unless specified.

Digital Artwork: Please follow these specifications to ensure that your artwork is in a compatible format insuring that your order is processed promptly. It is best if you include a hard copy.

Artwork must be MAC Compatible. Include screen and printer fonts. No TRUETYPE FONTS accepted. ART SHOULD BE TO SIZE.

Document should be in Stuffit Expander or DropZip.

Please create your art using this software:
>QuarkXpress 7.3 andf lower: When sending Quark documents, send all supporting art and fonts using collect for output or flightcheck.
>Illustrator EPS - CS3 and lower: (1470 dpi vector art) Embed or outline fonts and embed all links. Art with one or more colors should be saved as spot colors.
>Photoshop - CS3 and lower: Black and white (type) line art should be saved as 800 dpi tiffs, not jpegs. Black and white photos should be save3d as 300 dpi grayscale tiffs or jpegs. Colored photos should be saved as 300 dpi cmyk tiffs or jpegs.
>Acrobat PDF - 8 and lower.
>If you are using Corel Draw, do a cross-platform to illustrator format. We do not have Corel Draw supported software.
>WE DO NOT ACCEPT DATABASE OR PUBLISHER ART.
>E-Mailed Artwork should have a pdf file (viewing file)accompanying the emailed art. You will be given an email address at the time of placing your order.

ARTWORK CHARGES: We must reserve the right to determine what is camera-ready artwork. If we need to do artwork the charge is $35.00 per 1/2 hr. with a minimum charge of $25.00. If total charges will exceed $35.00 customer will be notified prior to our proceeding.

CANCELLATIONS: Cancellations must be mailed or faxed and approved by Brown & Bigelow. Canceled orders will be charged for the work completed at the time of cancellation.

STOCK ART: All non-licensed art in the Augustine Blue Book is available. Licensed artwork requires a written release from the licensor.

CHANGES: Changes to orders must be mailed or faxed. No phone changes accepted. Changes may incur extra charges and increase production time.

C.O.D. SHIPMENTS: Sorry, no C.O.D. shipments.

COPYRIGHT/TRADEMARKS: When artwork has been submitted for reproduction in producing an order, Brown & Bigelow assumes that the artwork was submitted in full compliance with the laws governing copyright, trademarks, etc. Purchasers, by placing this order, agree to hold Brown & Bigelow harmless for any damages, costs and/or expenses arising under these laws as a consequence of our use of said artwork including legal expenses.

DROP SHIPMENTS: Drop shipment instructions must accompany order. $7.50 per shipping location. International shipments $20.00.

FIVE DAY SHIP (Calendars only): Mark order "FIVE DAY SHIP" when you want it shipped in 5 business days. Simply marking it "Rush Order" does not qualify for this service. The charge is $25.00. We will ship in 5 days pending the following qualifications for Five Day ship orders. October 1 through December 30 we do offer FIVE DAY SHIP.

NOTE: The Five Day Ship service may be suspended in the peak rush period of November.

LESS THAN MINIMUMS: Absolute minimums:
Hotline™ - 100 with a Less Than Minimum charge $25.00
MiniatureLine—150 with a Less Than Minimum charge $25.00
Ultra-Miniatureline 300 (No LTM).
My First Year™—50 with no LTM charge.

MIXING SUBJECTS: Combining subjects may be done within same style calendar and the following minimums apply:
Hotline™ & MiniatureLine—100 Per Subject.
Ultra-Miniatureline - 100 Per Subject.

SPIRAL OPTION: Spiral option is available on all HotLine appointment calendars $.14ea. Add a day to ship date.

MAILING SERVICES:
>Allow additional 7 business days after production to complete mailing.
>Minimum 200.
>Customer provides mailing list: 50˘ each + postage and envelopes.
>Customer provides labels: 40˘ each + postage and envelopes - must provide labels in zip code order.
>Customer provides disk or an e-mail with attached spreadsheet list 40˘ + postage and envelopes.
>HotLine calendar estimated postage: Bulk Rate $.49; First Class $1.31.

OVERRUNS/UNDERRUNS: In keeping with industry standards we reserve the right to bill for overs/unders according to the following percentages.

OVER/UNDER
Calendars +/- Up to 5%
Greeting Cards/Envelopes +/- Up to 5%
If you will not accept overruns,These orders may be subject to a 5% underrun.

PMS COLOR MATCH FOR CALENDARS: On a one-color imprint, if black is not used, a wash-up charge or $24.00 will apply. Calendar orders calling for Blue, Red, Green, Orange, Yellow, Burgundy or Brown that do not specify a PMS color will be imprinted with our standard colors. When indicating a PMS or "spot" color, it will be created from 4/C Process inks. If requesting Metallic Inks (e.g. Silver or Gold - Minimum 1000).
>Ultra and MiniatureLine - $24.00. PMS colors will be created out of process color, not exact PMS color.

PHOTO/HALFTONE OPTIONS: Set-up $24.00. Set-up on repeat orders with no changes $12.00.
>Photos/Halftones in Ad: Photos can be put in ad from digital art (at least 300 dpt). From Digital Art - N/C. Scan Charge (Option 1443) - To make digital art from glossy photo $30.00. (Color charges apply as specified on each calendar when doing full-color photos).

PRODUCTION TIME: After receipt of order and credit approval: Calendars - Approximately 10 to 15 business days. Shipments begin July 31, 2009 unless otherwise specified.
>Calendar Orders with Copy Changes and/or Drop Shipments - Drop shipments and copy changes require additional production time. Add 2 extra business days on orders with up to 10 copy changes and/or drop shipments and 4 extra business days on orders above 10 copy changes and/or drop shipments. Orders with more than 25 copy changes and/or drop shipments require 6 extra business days.
>Full Color Ad Imprints - 15-20 business days.

PROOFS: Proofs are $7.50 on calendar orders. Color Proofs $11.00. Orders over 750 will be proofed at no charge when requested. Orders over 1,000 will automatically be proofed at no charge when requested Orders over 3,000 will be automatically proofed at no charge. Proofs are corrected once at no charge. Thereafter, a proof request will be charged $7.50 per request. If you do not want a proof simply state "no proof". Proofed orders are shipped 8 business days after proof approval or on the date you requested. Proofs are sent out 4 business days after your order is accepted.

PRODUCT PROOF - $50.00

E-MAILED ARTWORK - orders will be printed with the art provided providing there is a hard copy for comparison.

PROOF APPROVALS: Must be by fax email or mail only. No phone approvals.

REORDERS: Exact repeat orders are for artwork only. Artwork filed for 12 months. Color charges, copy change charges, etc. still apply. Orders stating "exact repeat" will be printed with the ad copy referenced. However, options such as spirals, special colors (other than black), envelopes, quantity, style, etc. must be indicated and highlighted on the reorder. On exact repeat orders you must have previous year's order number on purchase order or set-up charge will apply. Exact reorders with no change in artwork, or orders with straight line copy may be faxed. Faxed artwork is NOT acceptable as camera-ready.
